Administrative Assistant

Assist the executive director in the management of the Northfield Historical Society,
including:
* Responding to emails & phone calls – can pertain to donations, research, membership questions, general questions – Direct these to appropriate staff members
* Monitor and order supplies for the office, restrooms, store, and archives/collections
* Facilitate building maintenance schedules and tenant complaints/questions
* Schedule and monitor estimates and contracted work
* Open and sort mail, scan the bills, payments, and invoices for digital records, then
collect for the accountant
* Update and upgrade technology items and troubleshoot any issues
* Manage and update the donor and membership database
* Compile reports, update donor and member information, print and mail donation
letters, membership renewal letters, and request for new membership letters
* Track and update donations and membership transactions
* Clean and organize the storage areas as needed
* Maintain the Staff Google Calendar
* Count the store drawers, check store sales, ensure store has proper change and
money for operational needs available
* Ensure store is restocked and tidy, including restrooms each shift
* Maintain, update, and tack KPI’s for the museum website and social media accounts
* Plan and execute special events for NHS
* Greet museum guests, take payments, direct visit flow for guests
* Be point of contact between museum tour guides and volunteers and the store
manager and executive director
* Other tasks and duties as assigned

Additional hours during Defeat of Jesse James Days in September
Compensation – $18-$22 per hour, depending on qualifications

Museum Outreach Coordinator


Position Overview: The Museum Outreach Coordinator is responsible for developing and implementing outreach strategies to engage diverse audiences with the museum’s exhibits, collections, and educational programs. This position focuses on utilizing digital media, social media platforms, organizing school group tours, and creating videos to promote the museum and enhance its visibility.


Responsibilities:
Digital Media Strategy:
* Develop and execute a comprehensive digital media strategy to promote the museum and its activities.
* Create engaging and compelling content for the museum’s website, blog, and social
media platforms.
* Ensure consistent branding and messaging across various digital channels.
* Monitor and analyze website and social media metrics to assess the effectiveness of digital outreach efforts.


Social Media Management:
* Manage the museum’s social media accounts, including Facebook, Twitter, Instagram, and YouTube.
* Create and curate content for social media platforms to promote museum events,
exhibits, and educational programs.
* Interact with followers, respond to comments and messages, and foster a sense of
community among online audiences.
* Stay up-to-date with social media trends and emerging platforms to identify new
opportunities for engagement.
School Group Tours:
* Coordinate and organize school group tours to the museum, ensuring an enriching and educational experience for students of all ages. * Optimize videos for search engines and social media platforms to maximize reach and engagement.
* Collaborate with local schools and educators to develop tour programs that align with curriculum standards.
* Train and supervise volunteer docents or museum staff members to conduct engaging tours and deliver educational content.
Video Creation:
* Plan, script, and produce engaging and informative videos to showcase museum
exhibits, collections, and educational programs.
* Utilize video editing software to create high-quality videos for online distribution and promotion.
* Collaborate with internal stakeholders to identify video content needs and develop
creative concepts.


Collaboration and Outreach:
* Collaborate with internal museum departments, including education, marketing, and curatorial, to ensure effective coordination of outreach efforts.
* Establish partnerships with community organizations, schools, and other relevant
institutions to expand the museum’s outreach network.
* Represent the museum at community events, conferences, and meetings to promote its mission and engage potential audiences.


Qualifications:
 Bachelor’s degree in communications, marketing, art history, museum studies, or a
related field (or equivalent experience).
 Proven experience in digital media, social media management, video creation, or a
related field.
 Strong knowledge of various social media platforms, digital marketing strategies, and content management systems.
 Familiarity with video editing software (e.g., Adobe Premiere Pro, Final Cut Pro) and
multimedia production tools.
 Excellent written and verbal communication skills, with the ability to tailor messaging to different target audiences.
 Experience working with schools, educators, and organizing educational programs or
tours is preferred.
 Creative thinking and a passion for engaging diverse audiences with art, history, and
cultural heritage.
 Ability to work independently, manage multiple projects simultaneously, and meet
deadlines.
